Hello! I would like your input on specific programs to help me accomplish the following...ALL IN ONE PROGRAM! I've tried breaking the functions up between programs as well as doing it on paper, but I haven't found a system I love yet. I'd like it all on one software program.

Here are the functions I need. Any more which are included in a software would be fine, as long as it contains these as well:

Here are the functions I need. Any more which are included in a software would be fine, as long as it contains these as well:

1. Contact database - linked up with the remaining attributes
2. Place to input incoming job data: #words, rate, with total being calculated
3. Ideally linked up to an email system whereby you can email the client directly through this software (by link up to Outlook Express or some such), and see the history of emails AND previous work (word count, $) with this client.
4. Progress tracker whereby you can mark your progress on the job (mostly to move it from "potential" to "in progress" and finally to "done" or similar). Something with an easy to use interface on this where you can see all the jobs and easily tell where each one stands, visually (i.e. without having to read the details of the job).
5. Finally, a software that takes (1. above) the client and (2.) the job info - words, rate, the total invoice amount, and when you are done with the job (4. above) you can directly load this info into an invoice to then send (.3 above).
6. Lastly, I would like to be able to see where all the invoices stand: sent, pending, paid and in.


Sounds simple enough to me...it's the normal flow line of work. ACT! does the first 4 (though number 4 is too much to manage) but does not include an automatic invoice being made at the end and no easy way to keep up with the tracking of payments as well.

So, do you know of any project management software that does that above tasks in a smooth, easy to use system?

Thanks in advance for your input. Just let me know the name of the software and the cost, if any.

TOM by Jovo-Soft: Solito at a reduced price Nov 3, 2011

Just a short update on TOM:
Currently, TOM Solito (Version 9) is being sold at 65€. The price will certainly return to a three-digit one as soon as the version 10 is available. It depends on one's needs whether it is worthwhile to wait for the upgrade, I gave it a try and decided to stick to my own customized FileMaker version (details in my blog at http://tomarenko.com, in German). See for yourself.

It already has all the specifications Therrien mentioned plus the ability to generate invoices based on a template you can customize to your hearts content (or almost) in OpenOffice or Microsoft Office 2007 and above. I will not disclose any other features until the first beta build.

It already has all the specifications Therrien mentioned plus the ability to generate invoices based on a template you can customize to your hearts content (or almost) in OpenOffice or Microsoft Office 2007 and above. I will not disclose any other features until the first beta build.

I won't include an email client, but it will fire up firebird or outlook while automatically filling the mailto and subject fields based on the contact person the user chooses to write to.

It is written in .net (min. req. version 3.5 Client Profile) and it uses SQLite for extreme "lightweightness" (1.5 Mb so far).

If you guys want to suggest some other features, feel free to do so. I will try to include the most relevant ones.

I am thinking of setting up a development blog, so stay tuned.

I am still considering this because it would mean paying a rather large subscription fee to an exchange rate service provider. Maybe this http://openexchangerates.org/ would be a sound option, don't know. Can you fully trust these services? Wouldn't it be better to just rely on the rates provided by your national bank?

Is this necessary? I mean you do have the CTRL-Z function for all the text fields paired with the ability to edit any entry and also a progressive back-up of the database plus a ton of dialog boxes ("Are you really sure you want to delete this?").

done: Initially I went with labels (that cannot be selected) in all the forms. Just for the looks. Then I switched to a custom made textbox with transparent background and selectable text. Looks saved, functionality also.

• a way to synchronise contacts with Google Contacts!

Great idea! I have to read the license terms of the API. The feed is plain XML so it shouldn't be very hard to implement. At this stage the program has a Contacts section for every client. Maybe I will create a General Contacts section synched with Google Contacts. From there the user could assign contacts to his clients. What do you think?

It's on the to do list without the Google Calendar part. Need to read through the API documentation and license terms first

I have been using Trello (online: https://trello.com/), Evernote and Gmail/Google Calendar for Project Management. And since I started about six months ago it has been perfect!
I have tailored one Board on Trello for Projects (Potential, Received, In progress, Delivered) and another for Finance (To invoice, Invoiced, Sent, Paid). Since Trello has what they call Labels (a color that appears above a "card" in a Board), I can easily view which projects are in progress or whatever, and which invoices haven't been paid yet.
Trello also has a few add-ons (created by users/developers: https://trello.com/board/trello-development/4d5ea62fd76aa1136000000c) so you can customize it further to your needs.
I also use Everbot (http://www.everbot.net/) to connect my Gmail/Google Calendar/Google Drive and Evernote accounts, saving me some valuable time!
And one more than I cannot live without: Boomerang Calendar for Gmail (http://boomerangcalendar.com/)! It adds the ability to add an event to your GCal account from inside Gmail.
These are all free and easy to use applications, and although separate sites, it doesn't take me more than five minutes to open a project. After all is installed I just need to keep my Gmail and Trello tabs open. The other apps work on the background to make me happy
