Please forgive me if this is a stupid question, but I have just downloaded the demo version of TO3000. I can't seem to find how the programme helps with proforma invoicing - I want to be able to keep tabs on the proformas I have sent and which have subsequently been paid and invoiced, and which are outstanding. I hope my question is clear - does the programme have this feature? Thanks for any help!

There is no problem for payments, as there is a separate tab, and you can link payments to invoices. As for proforma invoices, I believe this is not included. You could maybe put proforma invoices in quotes.
The company seems very open to suggestions for improvements, so you should send an e-mail to them suggesting that this feature be added in future versions.

I suppose Timothy's workaround is fine

If you create a template to make it look like a proforma invoice (I have never understood what these are for, BTW), you probably could enter the potential job in the Quotes tab. TO3000 follow the quotes>jobs>invoice flow, but it is customizable enough to suit most needs.
Happy management,
Philippe

Phantom invoice
Dec 28, 2005
Hello Fiona,
I believe the feature you are looking for is the phantom invoice - and it is already included in this version of TO. Just look it up in the help files, it is explained there. Basically, it is an invoice made up so that you can change its content even after payments have been applied to it.
Hope this helps!

Just a quick note by way of explanation on proformas - they look like an invoice in every way except they are not valid for fiscal purposes. They tell the client how much to pay and when. But the invoice proper is not issued until payment has been made. Thus I avoid paying out VAT that I have not yet received.

Thank you for enlightening me

I would then call it a "quote-that-looks-and-feels-like-an-invoice-but-is-not".
Maybe you can make up a Quote template based on the Invoice template, that includes all details you need, and take advantage of the Quotes tab. The Help describes the variables/parameters that you can use.
Have fun,
